1. Who is responsible for your data
The controller of your personal data is Tame SpA, RUT (Chilean tax ID) 78.216.642-5, the Chilean company that owns Listenly (“Listenly”, “we”).
Data protection officers: Martin Gomez, Cristobal Hachim and Cristopher Arredondo. Privacy contact: [email protected].
This policy is governed by Chilean personal data protection law: Law 19.628 (Chile) and, from its entry into force, Law 21.719 (Chile).
2. Your meetings: who decides about them
For your account data (name, email, plan, payments), Listenly is the controller. For the content of your meetings, you decide: you are the one who starts listening and chooses what to keep and what to delete. If you use Listenly for your company or organization, it is the controller of that content and Listenly processes it on its behalf, as a processor, under the Data Processing Agreement.
That is why, if you took part in a meeting transcribed by someone else and want to exercise your rights over what you said, the quickest way is to ask that person; you can also write to us and we will contact them.
3. What data we process
Your account
Name, email address and, if you sign in with Google, your profile photo. Authentication is handled by Firebase (Google): Listenly never sees or stores your password. We also keep when you accepted these documents and their version.
The content of your meetings
- Audio from your microphone and from the system (what plays on your computer, such as a video call), only while a meeting is active, or from the recordings you upload.
- Transcripts, with who spoke and at what minute.
- What Listenly generates from them: summaries, decisions, tasks, topics, copilot answers, memories (information that remains current across meetings) and, in sales meetings, the client board and the sales plan.
- What you write or upload: titles, participants, spaces, projects and their descriptions, questions and the documents in your knowledge base.
These meetings include data about other people (their voice, what they say, their names). Read Recordings and consent.
Usage and technical data
Hours listened, questions asked and spaces created (for your plan's limits), technical logs of each artificial intelligence operation (which model was used, how long it took and how much it cost, without the content) and server logs with the IP address and the path of each request (without what you search for). The app does not use analytics or advertising tools.
If you write to us on behalf of your company
If you fill out the “Contact us” («Hablemos») form (teams and companies): the company's name and RUT, your name, job title, email and phone number, how many people there are and whatever you tell us. Only to reply to you.
Payments
Payments are processed by Mercado Pago. Listenly does not receive or store your card details: only the status of your subscription, the amount, the date of each charge and the brand of the payment method (for example, “Visa Debit”).
4. What we use them for and on what legal basis
We do not sell your data. We do not use it for advertising or send you advertising. We do not train artificial intelligence models with the content of your meetings, and neither do our providers.
When the legal basis is your consent (for example, for something optional we ask of you), you can withdraw it whenever you want, without affecting what was done before.
5. Artificial intelligence
Listenly uses artificial intelligence models to transcribe, summarize, answer and remember. What they generate can be wrong: that is why each piece of information shows which meeting and which minute it comes from, and you can correct or delete anything.
Listenly does not make automated decisions that produce legal effects on you or on other people, or that significantly affect them: the suggestions are for you to decide.
6. Sensitive data and minors
Listenly is configured not to store in summaries, memories or sales plans people's sensitive data (health, origin, beliefs, political opinions, union membership, sex life, biometric or genetic data, criminal records), even if they are mentioned in the meeting. If they appear in a transcript, you can delete the excerpt.
Do not use Listenly to transcribe conversations whose subject matter is sensitive data (for example, a medical or psychological consultation) without the express consent required by law. Listenly is not directed at people under 18 years of age and we do not knowingly create accounts for them.
7. Who we share them with
With providers that process data on our behalf, only to provide the service and under contracts that require them to protect it (processors or subprocessors):
The details of what each one receives are in Subprocessors. We will notify you before adding a new one.
We may also disclose data when a law or a competent authority requires it. If Listenly merges or is sold, your data would pass to the new controller with the same protections, and we would notify you.
8. International transfers
Several providers process data outside Chile, mainly in the United States. Those transfers are based on contractual clauses (their data processing agreements) that require them to give your data an adequate level of protection, as Chilean law requires, and they are necessary to provide you the service you contracted.
We give them only what is necessary for each task. You can ask us for a copy of the safeguards by writing to [email protected].
9. Recordings and participants' consent
Listenly does not join your calls as a participant: it listens to your microphone and your computer's audio. That is why you are the one who must inform the other people that the meeting is being transcribed and have their consent or another legal basis when the law requires it.
Before your first meeting, the app asks you to commit to notifying them, and when each one starts it offers you a notice ready to paste into the call chat. While it is listening, the app always shows it («Escuchando», “Listening”), and you can pause or end at any time. If someone asks you to delete what they said, you can delete the excerpt, the meeting or the memory from the app.
10. How long we keep them
11. How we protect them
- Everything travels encrypted (HTTPS/WSS) and backups are encrypted with AES-256 before leaving the server.
- Each workspace is isolated: no one else can see your meetings.
- The AI providers' keys live only on our servers, never on your computer.
- Request limits against abuse, and logs without the content of what you search for.
- Only the staff who need it to operate the service can access the data.
- If a security breach occurs that puts your data at risk, we will notify the authority and you within the time limits required by law.
12. Your rights
You can, at any time and free of charge:
- Access your data and know how we process it.
- Rectify it if it is inaccurate or incomplete.
- Erase it: delete meetings, excerpts or memories from the app, or your whole account.
- Object to processing, especially processing based on our legitimate interest.
- Request the temporary blocking of processing while we resolve another request of yours.
- Port it: receive it in a structured, commonly used format.
- Not be subject to automated decisions with significant effects on you (Listenly does not make them).
- Withdraw your consent when it is the basis of the processing.
You can download all your data and delete your account yourself, from Settings in the app or from My account. Deleting it erases your meetings, memories, documents and audio, and cancels your plan.
For everything else, write to us at [email protected] from your account's email (if you do not have an account, tell us which meeting you took part in). We reply within 30 calendar days, which may be extended once by another 30 if the request requires it, and we will let you know.
If you are not satisfied, you can file a complaint with the Personal Data Protection Agency (Agencia de Protección de Datos Personales, from the entry into force of Law 21.719 (Chile)) or with the courts, as provided by law.
13. Changes to this policy
If we change something important we will notify you by email or in the app before it applies, and we will ask you to accept it again. The date of the current version is at the top of this page.
